Executive Assistant

Public Relations (Full-Time)



The Executive Assistant provides high level administrative support to company CEO and COO by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for executives. The Executive assistant serves as primary contact for internal and external relationships, represents the CEO with senior executives, external customers, and board members. Handles details that are confidential and critical in nature.


• Assists the CEO and COO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments, travel arrangements, completing reports, composing and preparing correspondence and compiling documentation for meetings
• Act as the first point of contact to the CEO and COO, providing strategic recommendations to problem-solve and build relationships with Board of Directors, staff and clients
• Expert in handling and maintaining confidentiality using discretion and sound judgment, with a strong customer service orientation
• Submit and maintain expense reports and other reports as needed
• Effective organizational skills to improve the efficiency of administrative processes
• Open, sort and distribute incoming correspondence, including faxes and email


• Associated Degree or higher or equivalent combination of education, training and experience
• 3+ years of experience providing executive support to 1 or more executives
• Pivots quickly and is able to react with appropriate levels of urgency to situations and events which require timely response or turnaround
• Must have excellent written and verbal communications skills as well as strong interpersonal skills
• Proven mastery of MS Office applications including Outlook, Word, PowerPoint and Excel
• Detail oriented, with exceptional organizational skills 
• Ability to handle sensitive information in a confidential manner
• Ability to interact with all levels of internal and external contacts with diplomacy and professionalism
• Confidence and strong decision-making skills
